We are currently seeking a Project Administrator for our Saskatoon operations. This position will be based out of Saskatoon SK.

Description:

The Project Administrator ensures appropriate and accurate documentation is gathered and prepared in a timely manner and professional format for response to all tenders (Requests for Proposal, Expressions of Interest, Bid Projects, lump sum or time and materials contracts). Upon being awarded a contract the Administrator will become familiar with all documentation (contract, drawings, execution schedules, labour schedules, specifications, addendums and all other pertinent documents), while ensuring all relevant information is entered into the appropriate software and updated as necessary to assist in managing projects efficiently. Generation of various reports related to project management is also a requirement of the position.

KEY RESPONSIBILITY AREAS:

  • Gather all required documentation to prepare a quote and ensure all materials are archived and updated as required for future quotations (applying the principals of document control).
  • Formatting and preparing tendering documentation.
  • Input all information into project management scheduling and control tools as appropriate and update as required.
  • Monitor progress of deliverables (utilizing project management scheduling and control tools) and follow-up with appropriate parties to ensure proper documents and verifications are completed and filed.
  • Distribute contract material (drawings, specifications, project schedule, labor schedule, material & equipment delivery schedules, etc.) to the necessary parties.
  • Assist with Project Management Reporting (receive input from project managers and enter data into the system and prepare the relative reports, schedules, and charts).
  • Maintain and update the “Change Orders Registry”; distribute necessary material throughout the organization.
  • Follow up with appropriate parties to make sure deficiency lists are completed as planned.
  • Establish, control, and update records of all documentation related to contract activity.
  • Develop and maintain good working relationships with key stakeholders.
  • Prepare special reports and analyses as required.
  • Attend meetings as requested and document as appropriate.
  • Contribute to team efforts to manage projects and ensure their on-time completion, on budget, within specification, accident free and to customers’ satisfaction.

SKILLS REQUIRED:

  • Business Administration Certificate from recognized business college.
  • Minimum of two years of experience in construction contract administration.
  • Proficient with Microsoft Office (Word, Excel, PowerPoint) and in particular Microsoft Project.
  • Experience providing administrative support for Project Management
  • Excellent spelling and grammar along with a strong command of the English language.
  • Typing speed of 40-60 w.p.m.
  • Excellent planning and organizational skills.
  • Ability to write effective reports and correspondence.
  • Ability to compute proportions/ratios/percents and to draw and interpret graphs.
  • Ability to read, write, and interpret contractual agreements.
  • Adaptable and dependably
  • Familiarity with SAP Business One and MerX is considered an asset
